Executive Assistant, Stockholm
We are looking for a dynamic Executive Assistant to work alongside our CEO, with the aim to make their day-to-day life more effective. This is a role for someone who thrives in an ever-changing environment and is as comfortable with high-level responsibilities as they are with everyday operational tasks.
We believe you are:
Humble & Adaptable: You are willing to roll up your sleeves and do whatever is needed - from managing high-profile meetings to handling more essential daily tasks.
Insightful & Proactive: You’re quick on your feet, able to assess situations, anticipate needs, and offer solutions before problems arise.
Great Communicator & Socially Adept: You communicate clearly and professionally, and you build strong relationships with both internal and external stakeholders. You know how to connect with people at all levels, balancing professionalism with empathy.
Service-minded: You take pride in providing support, whether it's for the CEO or the wider team, and you genuinely enjoy helping others succeed.
Integrity: You have integrity and work confidently with C-level executives, handling sensitive information with discretion and trust.
What you will do:
Email & Calendar Management: Keep the CEO’s inbox organized, prioritizing important messages and ensuring everything is followed up on. Ensure the calendar is up-to-date and optimized.
Board and executive support: Help set up board meetings, manage communication with board members, and prepare any necessary documents.
Travel Arrangements: Handle travel plans, including booking flights, finding places to stay, and putting together travel itineraries.
Expenses: manage expense reports.
Logistics & Events: Coordinate meetings and logistical arrangements.
Proactive planning: Review future schedule and tasks for the CEO on a regular basis to ensure everything is properly prepared and arranged in time for all meetings and events.
Personal Tasks: Occasionally assist with the CEO’s personal tasks, treating them with the same level of professionalism and care as work-related duties.
Support for broader exec team: Occasional support for other tasks as needed by other members of the executive team.
We believe you have:
3-4 Years of Experience: You have experience as an Executive Assistant, ideally working with senior executives in a fast-changing environment. If you’ve supported executives in the tech or SaaS industry, that’s a big plus. Experience is important but we will put a lot of emphasis on personality.
Organizational Excellence: You’re a natural multitasker who loves keeping things organized, structured, and prioritized. You are detail-oriented and take pride in managing your own and other’s tasks with efficiency.
Excellent Communication Skills: You are clear, concise, and professional in all forms of communication. Whether it’s sending emails, coordinating with board members, or managing logistics.
Tech-Savvy: You’re proficient in tools like Google Workspace, and project management platforms and communication tools (e.g., Slack, Notion, Miro)
Flexibility: You’re comfortable shifting between different tasks and priorities, whether it’s arranging travel, board meetings, or handling personal errands.
Fluency in Swedish and English: Ensuring effective communication, both verbal and written, with diverse stakeholders.
